Colchester Transfer
Privacy policy
Last updated 13 October 2026
This policy explains how Colchester Transfer (“we”, “us”) handles personal information when you use our website or book a private transfer. We aim to follow UK GDPR and the Data Protection Act 2018.
Who we are
We are the data controller for booking and account information described here.
- Friday Wood Green, CO2 8XG
- Email: bookings@colchesterairporttransfer.co.uk
- Phone: 01206 700 751
What we collect
Depending on how you use the service, we may collect:
- Name, email address, and phone number
- Journey details (pickup, destination, stops, date/time, passengers, luggage, flight number if provided)
- Special requirements or notes you choose to add
- Payment status and Mollie payment references (we do not store full card numbers)
- Technical data needed to run the site (for example session cookies for admin sign-in)
Why we use your data
- To provide quotes and complete bookings
- To take card holds / payments via Mollie and issue refunds
- To contact you about your booking (email and/or SMS where you provide those details)
- To assign drivers and operate the transfer
- To meet legal, accounting, and dispute records requirements
Our main legal bases are performing a contract with you, and legitimate interests in running a safe transfer service. Where required, we rely on consent (for example optional marketing, if we ever offer it).
Who we share data with
We only share what is needed to deliver the service, including:
- Mollie — card authorisation, capture, and refunds
- Email / SMS providers used to send booking messages
- Map, routing, address, and flight lookup providers used to price and plan journeys
- Assigned drivers / operators who need trip details
- Professional advisers or authorities when legally required
We do not sell your personal data. Some providers may process data outside the UK; where they do, we expect appropriate safeguards to be in place.
Cookies
We use cookies and similar storage that are needed to run the site — for example secure admin login sessions and basic interface preferences. We do not currently use advertising or analytics cookies that require a consent banner.
You can control cookies in your browser settings. Blocking essential cookies may stop parts of the site (such as admin sign-in) from working.
How long we keep data
We keep booking and payment records for as long as needed to fulfil the journey, handle queries or refunds, and meet tax/accounting obligations. We then delete or anonymise data when it is no longer required.
Your rights
Under UK law you may have rights to access, correct, delete, or restrict use of your personal data, and to object to certain processing. To exercise these rights, contact us using the details above. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
Updates
We may update this policy from time to time. The “Last updated” date at the top of this page will change when we do.
